You have four different templates in printable PDF format – use whichever one works best for the type of Christmas potluck dinner (or lunch, brunch, etc.) you’re planning.

​Each printable potluck signup sheet is a little different, but here are some features you’ll find: 

• Contact details – whether you decide to ask for their phone numbers or email addresses
• Empty spaces to write down the specific food item or specific dishes you need for each category (i.e. you have customizable menu items on some of these where you can write in what type of food you need) – hopefully this helps you not just cover your bases, but also prevent too many duplicate dishes!
• Spaces to write in the number of people you need to sign up for different types of food or certain dishes – you might actually NEED duplicate dishes; maybe you need more than one person to bring shredded chicken for tacos, salads, or mashed potatoes to go with the honey ham…that’s why it’s so helpful to be able to write in the number of what you need!
• Spaces to include various such as main dishes, side dishes, snacks and/or appetizers, desserts, and drinks, as well as the # of each that you need so that you make sure to have enough food!
• Blank space for notes in case you want to make comments about dietary restrictions, food allergies, relevant details about the potluck event

Option 1: The “Very Specific Item” Sign-Up Sheet

This one might be the best option for class parties, simply because there are often very specific items needed for them, and you only need 1-2 of each item. 

With this template, you can write down exactly what’s needed, as well as how many of that item you need. There’s enough space below each item for 2-3 people to sign up. 

Note: While the template tells people to include their email address with their sign-up, you can easily write at the top if you also want them to include their phone number.

Option 2: The “Classic Potluck” Printable Sign-Up Sheet

If you’re planning just a regular potluck with the standard items – main dishes, side dishes, desserts, snacks, and appetizers, this template would work well for you! 

There’s an extra spot in case you want to write in any specific details about your potluck event.

Option 3: The “Large Potluck” Printable Sign-Up Sheet

Without lines in each section, you’re not confined to a certain # of people signing up. Just ask people to write small if you’re having a large party!

This printable sign-up sheet gives you the ability to customize the menu – whether you’re having a soup & salad potluck, following a specific theme, a hot cocoa bar potluck, or anything else, you can use this to write in the items/dishes you need and how many of each you need.

Option 4: The “Detail” Printable Sign-Up Sheet

You can customize the dishes/items you need on this sign-up sheet, and you also have a spot to write in event details/food instructions if needed. The lines help you keep the items limited to a certain number of people bringing that item.

Option 5: The “Digital” Potluck Sign-Up Sheet

(Editable in Google Docs, and it also functions as a fillable form for your guest – you can send a link out to your Google Doc and people can sign up inside the Doc!)

Need something even more customized? Use this digital file to customize your potluck sign-up to your event!

Sometimes the easiest way to have people sign up & then keep tabs on your potluck signups is to just have a shared document, so hopefully this helps if that’s what you’re needing!

Instructions for using this editable sign-up sheet:

• When you click on the link, you’ll be prompted to make a copy. (FYI: I think you need a Google account in order to access it.) If it doesn’t work, try opening it in a different browser! 
• When you make a copy of it, you can edit the text in the tables. Write in whatever dish/food item you want people to bring, and then the number of that item that you need. 
• All of those tables inside the doc are movable. Feel free to add more lines to some and take some out of others. 
• To have people sign up, you can either: send a link to your file to your guest list for them to fill it out digitally, or you can download it as a PDF file to print out and then have a physical sign-up sheet.

Tips for using these printable potluck sign-up sheets:

• If you’re providing the main dish & want others to sign up for everything else: 
  • Consider using the digital version (Option 5) and type in what you’re providing, then customize the other categories for what you want others to bring.
  • You can also do this with the Option 4 printable version – write in the notes what you’re providing, and then write in the food items you need to go along with the main dish in the other sections.
• Have fun with a theme! Use one of the printable templates that has a “notes” section and write down what your food theme is going to be for your holiday party! Check out this post for Christmas potluck theme ideas.
• Choose the sign-up sheet that works best for your event, write in the relevant details (if needed), and then post on your office bulletin board, bring it with you when parents pick up their kids from school, or post it in a community area where your guests can have easy access to it.
